  2. Enter a purchase order and agreement charge amount

    coolCARE support team will review your order to ensure the selection aligns with the equipment provided on the warranty certificate. The order is placed and a confirmation email is returned with the order #. The order is then available on your dealer portal access and processed the following day.

Instructions for this form:

  1. Locate the Agreement #

  2. Enter the Agreement #

  3. Enter Equipment Serial #

  4. Upload your company service invoice for the repair

  5. Upload a replacement part Invoice for all parts replaced during the repair

  6. If you travelled beyond 30 miles one way enter milage for reimbursement funds

  7. If claiming refrigerant for leak repairs, enter the type and lbs listed on your company service invoice. Cost is covered at contractor cost during repair and a most current invoice for refrigerant be attached to the claim

  8. For burnt wire and leak repairs with not part replacements a picture will also be needed.

  9. Submit

    It’s that easy!

    coolCARE claims team will review each claim within 3 days to ensure the documents provided are complete and the repair is covered. Claims are paid via check or ACH direct deposit with-in 30-days.

CLAIM REQUIREMENTS

  • Claims must be submitted within 60 days from the date of completed service

  • Policy must be active at the time of service

  • Policy holder must be current to residence/business owner at the time of service

  2. Choose Your Billing Account Setup - We have 2 billing account options

    1. COD Point of Sale - Pay with a credit card stored on your billing account automatically charged when you order a warranty

    2. Net 30 Credit Account - Pay invoices and view statements on our online payment platform with net 30 terms

  3. Start Building and Selling Protection - Use the coolCARE price library to pick the coverage that works for your business of each equipment type your sell. Each price library has a suggested retail price should you need help with establishing a warranty agreement charge (amount you sell the coverage for).

The dealer price library lists out each equipment type, term, and coverage. Its important to know what the manufacturer’s limited part warranty period is for each equipment brand you sell when making selections.

For net 30 account types you can access the online payment platform to access all invoices and make payments via credit card, debit cards, and ach bank debits.
